NOTES FOR HIRERS USING ROOMS AT THE GUILD
ACCESS: Hirers who have booked the Guild’s premises, and require access before the stated time on the booking form, MUST liaise with the Guild Steward. The Guild has a large number of hirers, and might be running to a tight schedule. PLEASE be careful to book extra time for setting up, to avoid anxiety.
The Guild Steward is happy to accommodate site visits by appointment.
The premises are not normally available on Sundays between 1 August and 15 September; from 20 December to the 2 January and Bank Holidays. The premises are not available for the purpose of storage of any kind. Goods left at Queen Square for later collection must be picked up promptly.
Art Workers' Guild Trustees Ltd. can accept no responsibility for any articles lost, stolen or damaged belonging to the hirers or their guests, whether due to the negligence of the company’s staff or not.
The hirer MUST leave all communal passages and fire escapes clean at all times. It is forbidden to store goods, set up a reception, or display, in the entrance hall.
It is obligatory to man the front door if it is kept open.
DAMAGE: The hirer shall be responsible to the Guild and shall reimburse the Guild for any damage to the Guild’s fixtures, fittings and furniture, or his or her staff, agents, or visitors whether authorised or unauthorised.
AUDIO-VISUAL EQUIPMENT: The audio-visual equipment, which is available for hire, is designed for the Guild’s own use. Hirers may wish to bring their own equipment.
The Guild recommends that lecturers rehearse with audio-visuals before the start of the lecture.
FURNITURE: Any furniture moved by the hirer MUST be returned to its place of origin after the event by the same hirer. If in doubt as to where it originally stood please get in touch with the Guild Steward who is resident on the premises.
The Guild is willing to let its hirers use its CUTLERY, CROCKERY and GLASSES. PLEASE return them washed and dried to their places. There is a commercial dishwasher, with a 3-minute cycle which spot dries, and tea towels to facilitate this task.
LETTINGS: All parties e.g. social parties involving drinks and food, carry a surcharge of 200%. Lettings are for periods of two or four hours. Hirers using the Guild in the evenings may buy an extension after 10 p.m. at £150 per hour. The total bill to be sent within a month of the event.
METHOD OF PAYMENT: Art Workers Guild Trustees Ltd. will invoice the charge for the hire of the premises together with any agreed extra charges at the end of the month in which the event is held and prompt payment is expected. Interest on late payments after 21 days will be charged at 4% over the current Bank of England base-rate.
RUBBISH: Black bags are placed at the hirer’s disposal. There is a daily collection in Queen Square, well-tied black bags placed against the railings outside late at night, will be collected at 7 a.m. the next morning.
Rubbish accumulated by daytime hirers should be left with the Guild Steward in well-tied black bags. Hirers are asked NOT to overtax any one's strength when loading the bags.
At the piazza end of Queen Square there are some recycling bins including bottle banks hirers are encouraged to use.
CANCELATION: Any cancellation must be made at least 3 weeks before the hiring date. Anytime within this period you will be charged at the full hiring fee.
USE OF PREMISES: The Hirer shall not use the Premises for any purpose other than that described in the booking form and shall not sub-hire or use the premises or allow the premises to be used for any unlawful purpose nor do anything or bring on to the premises anything which may endanger the same or render any insurance policies invalid nor allow the consumption of alcohol thereon without written permission.
If there is to be catering undertaken by the hirer then the following term should be added:
HEALTH AND HYGIENE: The Hirer shall, if preparing, serving or selling food, observe all relevant food health and hygiene legislation and regulations.
